{"id":1922,"date":"2023-02-16T12:01:58","date_gmt":"2023-02-16T16:01:58","guid":{"rendered":"https:\/\/congresoadts.com\/?page_id=1922"},"modified":"2026-09-05T15:22:57","modified_gmt":"2026-09-05T19:22:57","slug":"terms-of-agreement","status":"publish","type":"page","link":"https:\/\/congresoadts.com\/en\/terms-of-agreement\/","title":{"rendered":"Terms of Agreement"},"content":{"rendered":"<p>These General Policies set out the terms and conditions applicable to registration and participation in the <strong>8th International Health and Wellness Tourism Congress<\/strong>, to be held on <strong>9 and 10 June 2027<\/strong> in Santo Domingo, Dominican Republic, together with the provisions relating to payments, cancellations, personal data processing, security, intellectual property and rules of participation.<\/p>\n<p>The Congress is an initiative of the Dominican Health Tourism Association (ADTS), organised jointly with AF Comunicaci\u00f3n Estrat\u00e9gica.<\/p>\n<p>By completing the registration process, the participant declares that they have read and accepted these policies.<\/p>\n<h2>1. Registration and participant information<\/h2>\n<p>To complete registration for the Congress, certain personal and professional details will be requested, such as first name, last name, company or institution, job title, country, telephone number, email address and any other information required to process the registration, issue the corresponding credentials and facilitate participation in the event.<\/p>\n<p>The participant is responsible for providing accurate, complete and up-to-date information.<\/p>\n<p>On submitting the form, the participant will automatically receive an acknowledgement of their registration at the email address provided. This acknowledgement confirms that the request has been received; it does not constitute confirmation of payment or of a reserved place.<\/p>\n<p>The Congress team will subsequently contact the participant to confirm their participation and set out the available payment methods. Once payment has been verified, the participant will receive the final confirmation of their registration.<\/p>\n<p>The organisation may request that confirmation, in digital or printed form, at the time of accreditation.<\/p>\n<h2>2. Privacy and personal data processing<\/h2>\n<p>The information provided during the registration process will be treated confidentially and used for purposes connected with the organisation and running of the Congress, including:<\/p>\n<ul>\n<li>processing and confirming the registration;<\/li>\n<li>accreditation and access control;<\/li>\n<li>operational communications relating to the event;<\/li>\n<li>invoicing and administrative management;<\/li>\n<li>responding to participant enquiries;<\/li>\n<li>compiling general statistics and event metrics;<\/li>\n<li>satisfaction surveys; and<\/li>\n<li>communications about future editions, activities or content related to the organisers, where applicable.<\/li>\n<\/ul>\n<p>Where the participant expressly grants authorisation on the registration form, their contact details, including their email address, may be shared with Congress sponsors for institutional or commercial communication purposes. This authorisation is optional, and granting or withholding it will not affect the registration process or participation in the Congress.<\/p>\n<p>The website may automatically collect certain technical information, such as IP address, browser type, operating system and data derived from the use of cookies, including web analytics tools that generate aggregate usage statistics, in order to optimise the site&#8217;s operation, security and browsing experience.<\/p>\n<h3>Data retention<\/h3>\n<p>The personal data provided will be retained for as long as necessary to fulfil the purposes set out above and, in any event, will be exported to an internal archive and deleted from the website&#8217;s systems within a maximum of sixty (60) calendar days from the end of the Congress.<\/p>\n<p>This does not apply to records that must be retained under accounting, tax or legal obligations, which will be kept only for the period required by those rules and with access restricted to those purposes.<\/p>\n<h3>Participant rights<\/h3>\n<p>In accordance with Dominican Republic Law No. 172-13 on the Protection of Personal Data, the participant may at any time request access to, rectification of, updating of or deletion of their personal data, and may object to its processing for commercial communication purposes.<\/p>\n<p>Authorisation to share data with sponsors may be withdrawn at any time by the same means, without affecting registration or participation in the Congress.<\/p>\n<p>Such requests may be sent to <a href=\"mailto:infocongreso@afcomunicacion.com\">infocongreso@afcomunicacion.com<\/a> and will be handled within the periods established by applicable law.<\/p>\n<h2>3. Information security<\/h2>\n<p>The organisation will adopt reasonable technical, administrative and organisational measures to protect the personal information provided by participants against unauthorised access, alteration, disclosure, loss or use.<\/p>\n<p>However, no electronic system for storing or transmitting information can guarantee absolute security.<\/p>\n<h2>4. Payments<\/h2>\n<p>The registration fee is expressed in United States dollars (USD). Any applicable refunds will be calculated and processed in the same currency in which payment was made.<\/p>\n<p>The Congress does not currently have an online payment gateway. <strong>The website does not process payments or capture card details.<\/strong> Registration through the form is a request to register; payment is arranged afterwards directly with the Congress team.<\/p>\n<p>The available payment methods are:<\/p>\n<ul>\n<li>bank transfer;<\/li>\n<li>bank deposit;<\/li>\n<li>card payment processed in person at the offices of AF Comunicaci\u00f3n Estrat\u00e9gica, using a point-of-sale terminal;<\/li>\n<li>institutional purchase order; and<\/li>\n<li>cash, at the offices of AF Comunicaci\u00f3n Estrat\u00e9gica.<\/li>\n<\/ul>\n<p>Where payment is made by card, the transaction is processed by the point-of-sale terminal operated by the corresponding acquiring institution. The organisation does not retain the full card number, its expiry date or its security code once the transaction is complete.<\/p>\n<p><strong>The organisation will not request card details by email, web forms, instant messaging or social media, and participants should not send them by those means.<\/strong> Any communication requesting such details on behalf of the Congress through those channels should be treated as fraudulent and reported to the organisation.<\/p>\n<p>Participants who require a tax receipt must indicate this on the registration form and provide the company&#8217;s tax identification number (RNC) or their national ID number, as applicable.<\/p>\n<p>Any bank charge, exchange rate difference or fee applied directly by the participant&#8217;s financial institution will be the responsibility of that institution and of the cardholder or account holder.<\/p>\n<p>Should the organisation enable online payments in the future, these will be processed by specialised external providers, subject to their own standards, terms of service and privacy and security policies, and these policies will be updated accordingly.<\/p>\n<h2>5. Registration confirmation and identification<\/h2>\n<p>Each registration is individual and corresponds exclusively to the person whose details were provided during the registration process.<\/p>\n<p>The credential or badge issued to the participant is personal and non-transferable once the Congress has begun, and must be used in accordance with the access rules established by the organisation.<\/p>\n<p>The organisation may request personal identification where necessary to validate a registration.<\/p>\n<h2>6. Transfer of registrations<\/h2>\n<p>Where a registered participant is unable to attend, they may transfer their registration to another person without penalty, provided that:<\/p>\n<ul>\n<li>the request is made in writing;<\/li>\n<li>complete information about the replacement person is provided; and<\/li>\n<li>the request is received by the organisation no later than three (3) working days before the conferences begin.<\/li>\n<\/ul>\n<p>Requests must be sent to AF Comunicaci\u00f3n Estrat\u00e9gica through the official Congress channels.<\/p>\n<p>Transfers requested after that deadline may be accepted at the organisation&#8217;s discretion, but the availability of badges, certificates, materials or other items personalised with the new participant&#8217;s details is not guaranteed.<\/p>\n<h2>7. Cancellations requested by the participant, and refunds<\/h2>\n<p>Cancellation requests must be made in writing through the official Congress channels.<\/p>\n<p>Where cancellation is requested voluntarily by the participant, the following scale will be applied to the amount actually paid for the registration:<\/p>\n<ul>\n<li>Ninety (90) calendar days or more before the Congress begins: <strong>85%<\/strong> refund.<\/li>\n<li>Between sixty (60) and eighty-nine (89) calendar days before the Congress: <strong>60%<\/strong> refund.<\/li>\n<li>Between thirty (30) and fifty-nine (59) calendar days before the Congress: <strong>40%<\/strong> refund.<\/li>\n<li>Fewer than thirty (30) calendar days before the Congress: the registration is <strong>non-refundable<\/strong>.<\/li>\n<\/ul>\n<p>This policy reflects the administrative, operational, technological, payment-processing and production costs, as well as the commitments to suppliers and services that the organisation progressively assumes from the moment of registration and throughout the preparation of the event.<\/p>\n<p>As an alternative to cancellation, the participant may request the transfer of their registration in accordance with the conditions set out in the previous section.<\/p>\n<p>Failure to attend the event without prior cancellation, a &#8220;no show&#8221;, does not give rise to any right to a refund.<\/p>\n<p>Approved refunds will be processed using, where possible, a means equivalent to the one originally used to make the payment, and will be subject to the corresponding operational, financial and banking timeframes.<\/p>\n<h2>8. International participants and extraordinary travel impediments<\/h2>\n<p>Participants residing outside the Dominican Republic who face an extraordinary and duly documented circumstance that makes travel impossible may request special consideration of their case.<\/p>\n<p>Situations that may be considered include, among others:<\/p>\n<ul>\n<li>documented visa refusal;<\/li>\n<li>border closures;<\/li>\n<li>extraordinary or widespread transport cancellations;<\/li>\n<li>official measures preventing travel; or<\/li>\n<li>other serious, duly evidenced circumstances of force majeure.<\/li>\n<\/ul>\n<p>The organisation will assess each request individually, taking into account the documentation submitted, how close the event date is, and the costs already committed.<\/p>\n<p>Where an exceptional refund is granted under this provision, it may be of up to 70% of the amount paid, and in no case lower than the percentage that would apply under the scale set out in section 7.<\/p>\n<p>Wherever possible, the transfer of the registration to another person may also be offered as an alternative.<\/p>\n<h2>9. Date change or rescheduling<\/h2>\n<p>Should operational, institutional or security circumstances, force majeure, or events beyond the organisation&#8217;s reasonable control make it necessary to change the date of the Congress, confirmed registrations will automatically remain valid for the new date.<\/p>\n<p>The organisation will communicate the new schedule in due course through the contact details provided by participants and\/or through the official Congress channels.<\/p>\n<p>If a participant is unable to attend on the new date and requests cancellation of their registration, the refund scale set out in section 7 of these policies will apply, with the relevant periods calculated by reference to the new official Congress date.<\/p>\n<p>As an alternative, the participant may request the transfer of their registration to another person in accordance with the conditions set out in these policies.<\/p>\n<h2>10. Definitive cancellation of the Congress<\/h2>\n<p>In the event of definitive cancellation of the Congress by decision of the organisation, where the event is not rescheduled, registered participants will be entitled to request a refund of the amount paid for their registration, in accordance with applicable law.<\/p>\n<p>The organisation will communicate the procedure and the timeframes established for processing such refunds in due course.<\/p>\n<p>The refund of the registration fee will not cover personal or indirect expenses individually assumed by participants, such as air tickets, accommodation, ground transport, visas, insurance, meals or other independently arranged travel expenses.<\/p>\n<p>For this reason, and particularly for international participants, we recommend arranging travel services that allow changes or cancellations and, where appropriate, suitable travel insurance.<\/p>\n<h2>11. Force majeure and extraordinary circumstances<\/h2>\n<p>Where circumstances beyond the organisation&#8217;s reasonable control prevent or substantially affect the normal running of the Congress, the organisation may adopt such measures as are reasonably necessary to safeguard participant safety and the viability of the event.<\/p>\n<p>Such circumstances may include, among others, severe natural phenomena, health emergencies, governmental decisions or restrictions, serious disruption to transport, labour disputes, civil unrest, critical failures at the venue, security situations or other extraordinary events.<\/p>\n<p>Depending on the circumstances, the organisation may reschedule the Congress, adjust its format, modify certain operational components or adopt other reasonable measures, seeking to preserve the nature, quality and general objectives of the event.<\/p>\n<h2>12. Programme, speakers and activities<\/h2>\n<p>The announced agenda, timings, speakers, panellists, moderators, rooms and other components of the programme are subject to adjustment where professional, logistical or operational circumstances, or circumstances beyond the organisation&#8217;s control, so require.<\/p>\n<p>The organisation may replace speakers, change timings, reorganise sessions or make other reasonable adjustments, seeking to preserve the quality, subject matter and general nature of the Congress.<\/p>\n<p>The modification or replacement of a specific speaker, panellist, session or activity does not in itself constitute a cancellation of the Congress, nor does it automatically give rise to a right to a refund.<\/p>\n<h2>13. Photography, video and use of image<\/h2>\n<p>The Congress may be covered photographically, audiovisually and journalistically by authorised personnel.<\/p>\n<p>By taking part in the event, the attendee acknowledges that they may appear incidentally in photographs, videos, broadcasts or general images taken during the activities.<\/p>\n<p>Such material may be used by the Dominican Health Tourism Association (ADTS) and AF Comunicaci\u00f3n Estrat\u00e9gica to document, communicate and institutionally promote the Congress, its outcomes and future editions, through printed, digital and audiovisual media, social networks, the press and institutional platforms.<\/p>\n<p>Where a person voluntarily takes part in an interview, testimonial, audiovisual production or specific recording, in the knowledge that the content will be used for institutional, informational or promotional purposes of the Congress or its organisers, such participation will be regarded as an expression of consent to the capture and use of their image, voice and testimony for those purposes, without prejudice to any additional authorisations that may be legally required in particular cases.<\/p>\n<h2>14. Intellectual property<\/h2>\n<p>The name, visual identity, trade marks, official photographs, videos, publications, graphic materials and other content produced specifically for the Congress are protected under applicable law.<\/p>\n<p>Presentations, research, academic or professional materials and other content contributed by speakers remain subject to the rights of their respective authors or rights holders.<\/p>\n<p>Registration for the Congress does not grant the participant authorisation to reproduce, retransmit, record, distribute, commercialise or commercially exploit the conferences, presentations, broadcasts, photographs, videos or materials of the event.<\/p>\n<h2>15. Sponsors, partners and participating companies<\/h2>\n<p>Sponsors, partners and participating companies expressly authorised by the organisation may exhibit products and services, distribute institutional or promotional materials and carry out previously agreed activities within the spaces assigned for those purposes.<\/p>\n<p>The participation of sponsors, partners or participating companies does not necessarily imply that ADTS or AF Comunicaci\u00f3n Estrat\u00e9gica guarantee, certify or recommend the products or services offered by those entities, unless expressly stated otherwise.<\/p>\n<p>Any commercial relationship that a participant decides to establish directly with a third party during or after the Congress will be the responsibility of the parties involved.<\/p>\n<h2>16. Rules of participation and conduct<\/h2>\n<p>In order to preserve a professional, safe and respectful environment, participants must maintain appropriate conduct throughout all Congress activities.<\/p>\n<p>The following are not permitted:<\/p>\n<ul>\n<li>selling goods or services outside the areas authorised for sponsors;<\/li>\n<li>distributing promotional materials without the organisation&#8217;s authorisation;<\/li>\n<li>recording, retransmitting or photographing conferences or content for commercial purposes without authorisation;<\/li>\n<li>actions that substantially disrupt the conferences or activities;<\/li>\n<li>harassing, threatening, intimidating or discriminating against other participants;<\/li>\n<li>any act that compromises one&#8217;s own safety or that of others;<\/li>\n<li>bringing in illegal substances;<\/li>\n<li>smoking outside expressly permitted areas; or<\/li>\n<li>failing to comply with the safety rules established by the hotel, venue or organisation.<\/li>\n<\/ul>\n<h2>17. Right of admission and removal<\/h2>\n<p>The organisation may deny access to, or request the removal of, any person where there is an objective and reasonable cause relating to safety, breach of these policies, inappropriate conduct, substantial disruption of the Congress or infringement of the rights of other participants.<\/p>\n<p>Where removal is the consequence of conduct attributable to the participant or of a breach of these policies, no refund of the registration fee will be due.<\/p>\n<h2>18. Responsibility for personal belongings<\/h2>\n<p>Each participant is responsible for the safekeeping of their personal belongings during the Congress. The organisation will not be liable for the loss, misplacement, theft or damage of personal items.<\/p>\n<h2>19. Updates to these policies<\/h2>\n<p>The organisation may update these policies where necessary due to operational or regulatory changes, or changes relating to the organisation of the Congress.<\/p>\n<p>Amendments will not retroactively affect rights already acquired by participants under the conditions in force at the time of their registration, except where necessary to comply with mandatory legal provisions.<\/p>\n<p>The current version will be available on the official Congress website and will state its date of last update.<\/p>\n<h2>20.
